Attendance and Registration

The registration deadline is Tuesday, January 24. We request that three members from your site attend this meeting and that each attendee submit their own registration form. The lead program coordinator, who is responsible for programmatic oversight and is assigned as the “Point of Contact” in the Grants Management System (GMS), is required to attend.  The remaining two participants from your site should be selected from among key staff and/or MOU partners who play a significant role in the grant project and/or who impact program implementation.  If you have any questions or would like to discuss who should attend this meeting, please contact Darla Sims, OVW Program Specialist at Darla.sims@usdoj.gov for further guidance. We have also included a list of potential topics below, which may help you decide who should attend.

Hotel Information: Embassy Suites

The Children and Youth Exposed to Violence New Grantee Orientation will be held at the Embassy Suites Downtown Washington, D.C. (1250 22nd Street NW, Washington, DC 20037; p: 202.857.3388). 

One room per participant will be booked on your behalf with check-in on Tuesday, February 14 and check-out on Friday, February 17 unless otherwise noted in your registration; however, rooms will be charged to each individual’s credit card at a rate of $183/night and are reimbursable by your site’s lead agency. You will be asked at check-in for a credit card to cover incidental expenses and rooming costs.

ALSO cannot guarantee the prevailing government room rate on any extra nights you choose to stay at the hotel, as these rates are subject to hotel availability. However, should this rate be unavailable ALSO will notify you.

Flight Information

After you have selected your team of attendees and have registered via the above link, please book travel immediately in order take advantage of the most inexpensive flight options. The 21-day advance purchase deadline is Tuesday, January 24, 2012.

We recommend you book flights to allow for arrival on Tuesday, February 14th and departure from the Embassy Suites no earlier than 12:30pm on Friday, February 17th.

Ground Transportation

The nearest Metro Stop is the Red Line at Dupont Circle, a 5-7 minute walk from the hotel. The Ronald Reagan Washington National Airport is a 15 minute drive from the hotel, and shuttles cost $14.00 each way. A taxi from Reagan Airport to the hotel averages $15.00 each way.  Dulles International Airport is a 1 hour drive at minimum from the hotel, and shuttles cost $32 each way. To reserve a shuttle for either airport, please call 1.800.BLUEVAN (www.supershuttle.com) at least 24 hours prior to the time of pick-up. The hotel also provides overnight parking $35.68 including tax and in and out privileges.

Meals

New federal regulations do not allow us to provide meals during this meeting. However, the Embassy Suites offers complimentary breakfast beginning at 6:30 a.m. and ending at 9:30 a.m. for all participants staying at the hotel. Lunch will be 1.5 hours on Wednesday and Thursday of the conference. There will be a variety of food options available to you while on-site in D.C. The Embassy Suites offers a lunch buffet for $11.00 at their restaurant, Nicola Trattoria.
 
Additionally, this list provides pricing designations to help stay within your federal lunch per diem of $18.00 and dinner per diem of $36.00. Lastly, affordable lunch options within four blocks of the hotel are available for your review on Yelp.
